Automated Fulfillment Network policies and procedures.

Preparing the Outgoing ILDS Delivery

The outgoing ILDS delivery will consist of any or all of these items:

I-Share Borrowing returns -- follow Returning I-Share Borrowing Loans procedures. These are items our patrons borrowed via I-Share that need to be returned to lending libraries. Check the shelf behind the Circulation Desk for more I-Share Borrowing Returns.

Alma Pick Slip Requests (I-Share Lending) -- follow Processing I-Share Lending Requests procedures.

Tipasa Lending Loan items for Illinois libraries that will be sent through the delivery -- follow Processing Tipasa Lending Requests procedures.

Tipasa Borrowing loan returns for Illinois libraries -- follow Returning Tipasa Borrowing Loans procedures.

1. When time allows, prepare items for outgoing delivery:

  • Process I-Share Borrowing Returns
    • Inspect books and return in Alma
    • Check the ILL Return Shelf behind the circulation desk for more I-Share Borrowing Returns
  • Process pick slip requests.
    • Log into Alma and go to the Fulfillment > Resource Requests > Pick from Shelf
    • Print requests
    • Scan in item in Alma
  • Search for printed pick slip requests and any printed Tipasa requests / Place found items on appropriate shelf
  • Process Tipasa Loan Requests that can be sent in the ILDS Delivery (Illinois Libraries)
  • Ask your supervisor if there are any Tipasa Borrowing Loan items being returned in the delivery

2. Take any items from the ILDS Outgoing Delivery Shelf 

3. Organize all these items for outgoing delivery in alphabetical piles by the three-letter ILDS codes that are on the transit slips and ILDS labels.

  • Place any CDs or DVDs in a blue A/V mailer, which is located on top the the cabinet.
  • Place any fragile material in these mailers as well, or in a box if necessary. Rubber band cardboard pieces to flimsy items.

4. Tally up # of items in each pile, and using the dry erase marker and dry erase location sheet, record the number of items for each ILDS location on the sheet.

5. Create labels at http://illinoisdelivers.net/labels

  • Select your library: KNX
  • Select the destination: three-letter code
  • Enter the item count for this bag: this is the number of books being sent to location

  • If the bag only contains delivery bags and no books, simply check the box and do not enter a value for item count.
  • Click ADD
  • Continue adding a label for each location with books or bags
  • Click the PRINT button when you have added all the labels. *Remember to change properties to 1-sided print*

6. Cut labels and place them on the corresponding piles. It may be helpful to keep the labels in alphabetical order by three-letter ILDS code.

7. Make corrections if labels are not correct and reprint new labels: http://illinoisdelivers.net/labels 
Highlight the incorrect Label and Select Delete Bag:  

  • Delete a bag if the # of books in a pile does not match the label / Add the label correctly;
  • Delete a bag if the location of the pile does not match the label / Add the label correctly;
  • Delete a bag if you added it twice;
  • Add a label if you missed a location; 
  • Print;  
  • After making your corrections, reprint only the last page the newly revised labels.  The new label(s) will be on the very last page of the document.

8. Fill bags. Place label in clear pocket on the front of the bag. Place items inside the bag and zip it shut. Secure bags with a cable tie. Do not overfill bags or bend books to fit into bags. There is an 8 book/15 lb. limit for the small purple bags. Use a large purple bag if necessary.

9. Place the bags in blue RAILS bins. Do not overfill bins. If the bin is over 40-ish lbs. or will not close properly, use an additional bin. If you have used a large purple bag and it will not fit in a bin, just leave it out. 

10. Leave the bins on the floor next to the ILL bookcart for our driver to pick up, and prop open the tech services door.

  • Our driver is very punctual and will be here between 12:05 and 12:10. He will also call if he is running behind. 

11. Approve Outgoing Manifest at http://illinoisdelivers.net/labels/manifest/ 

  • Do Not approve your manifest until all bags have been filled and secured.  Once the manifest has been approved, you cannot delete or add bags to the locations in the manifest list.
  • Select Source Destination: KNX
  • Approve Manifest. You must approve the manifest before you can print the manifest for the current day

12. Print Outgoing Manifest.

  • Click in the row with the current date. If the Outgoing Manifests list does not have the current date, you will first need to Approve your manifest before printing. See the step above.
  • Click the Create Manifest button.

  • Print 1 copy, two-sided. Then place it on the ILL supervisor's desk.
