Returning I-Share Borrowing Loans

1. Check the ILL Return Shelf at the Circulation Desk for I-Share and Tipasa Borrowing Returns. These items were borrowed by Knox Patrons from other lending institutions. Patrons are finished with these items and we need to finish processing and return to the lending libraries / institutions. 

2. Sort the returns between Tipasa and I-Share.

  • Place Tipasa returns on the shelf over supervisor’s desk – Tipasa Borrowing Loan Return to Lending Library
  • If you cannot determine if the item is I-Share or Tipasa because it was not returned with a bookwrap, place the item on supervisor’s desk.
  • Supervisor will process Tipasa Borrowing Returns.

3. Check the condition of I-Share returns. Inspect and compare the item to the green ILL Condition Report

  • If the item has not been returned in the condition received and is damaged, DO NOT return/scan in Alma.  
    • Write a separate note indicating the 1) damage, 2) where it is located, 3) the date and 4) your initials; 
    • Do Not remove the book wrap/ILL Condition Report.  Instead, place the bookwrap and condition report inside the front cover; 
    • Place the damaged item on the supervisor’s desk.
  • If the I-Share item has been returned in the condition it was received, remove/cut the ILL Condition Report from the book wrap and cut off or peel off any remaining tape. Do not leave any tape on the condition report. We do not want tape sticking to the pages of the book and causing possible damage. Place the ILL Condition Report inside front cover of the item

4. Gently remove sticky notes, and book marks left by the patron; If any valuables were left inside the returned items, e.g. train tickets, gift cards, check, receipts, identification cards, give the book wrap (with patron name) and articles found to supervisor.

5. Do not remove book wraps placed on books by the lending library. If the book wrap has been removed, put the bookwrap inside the front cover of the book.

6. Find the actual, physical library barcode on the itemScan the barcode.

  • Transit slip will be printed for each item.
  • If returning more than one book, keep the books in scanned order. Transit Slips are printed in the order the books were scanned.
  • Watch for Alert message that displays “On Hold for patron ...”. Select OK then place the book on the ILL supervisor’s desk; or ask how to charge to patron and then discharge the item.
  • If an item is LOSTAlma displays a status pop up box explaining the lost status and fines have been removed.
  • -Select OK
  •  

7. Place the Knox I-Share bookwrap in the Shred box between the copier and ILL workstation after the transit slip has been printed.

8. Fold the Route Item Slip into quarters, and place the portion of the slip with the three letter ILDS code on the top of the front cover and the remaining portion of the slip may be folded underneath the front cover; Place a rubber band around the item.

9. Place on shelf with the green "ILDS Outgoing Delivery Shelf" sign.

NOTES:

Floppy or Fragile items

  • If the item is a floppy, place a piece of cardboard behind the item and rubberband.  Cardboard will provide some protection and stability for floppy items.
  • Place Fragile items in a box

Non-Print

  • ILDS has provided blue padded A/V mailers for returning non-print items.  IF we do not have any blue mailers, reuse a jiffy envelope or bubble wrap along with a DVD box.  Used jiffy envelopes and DVD boxes are found below the other ILL workstation.    If we do not have a DVD box, rubberband two pieces of card board to the item.

Microfilm / Microform

  • Microfilm and Microform cards must be returned in a box. 

Rubberband the Route Item Slip around blue padded mailers or tape the slip to the outside of the box. 

Returning Items Patron Does Not Want (For Supervisor Only)

If a patron notifies you that they do not want an item that is on the hold shelf, but the hold shelf period has not yet expired:

  1. In Alma, go to Fulfillment> Active Hold Shelf
  2. Find the item the patron did not want in the list, and select the Update Expiry button.
  3. Change the expiration date to be yesterday's date.
  4. You should then find the item on the Fulfillment> Expired Hold Shelf list> "Send to Institution" tab.
    • Refer to the steps below for "How to Return an item to another I-Share library after the hold has expired" for more details.
  5. For that item, select "Transit" to prompt Alma to create a transit slip for you to return it.
    • You do NOT need to additionally Fulfillment> Return the item in Alma, selecting the "Transit" link for the item is enough

Returning Expired Items (For Supervisor Only)

The "Expired Hold Shelf" list is subdivided into tabs based on the next action for staff to take with the item. Not all tabs will contain items to work with each day. The tab name is followed by a number to denote if items are listed on the tab.

1. Log into Alma and select Seymour Library.

2. Under Fulfillment> Resource Requests> click on Expired Hold Shelf.

3. On the Expired Hold Shelf Items page, open the "Send to Institution" tab.

4. Locate the item(s) on the hold shelf to make sure they are still available/unclaimed.

5. Use the "Transit" option to direct Alma to return the item to its home institution using one of these methods:

a. To transit a single item, select the "Transit" link under the item record.

b. To transit multiple items simultaneously, check the check box for the item, and then use the Transit button that appears at the top of the page.

6. Place on shelf with the "Place all items ready for outgoing delivery here" sign.
