Policies and procedures for using Alma for Fulfillment activities.

Processing Hold Requests in Alma

After a hold request has been made in either Knox Primo or directly in Alma library staff process the hold and place the item on the hold shelf for to await pickup by the patron. Be sure you are in Alma at the Seymour Library location:

1. In Alma go to Fulfillment > Resource Requests > Pick From Shelf

2. Select all the items that do NOT have any " Fulfillment Network" labels. For example, the request below is for an item to be delivered via I-Share, and those are handled from within the library's Resource Sharing department, not from the Circulation Desk.

3. To save paper when printing, tick the boxes next to the items you need to retrieve from the shelf. Then click the Print Slip Report button. Then, click the Download button. Your list will be downloaded into Excel format. 

Otherwise, you can elect to print pull slips for each item individually. Click on the row actions button to the right of each title and click on Print Slip.

Note: It is possible for a patron to include a comment about the requested item in the form they use in Knox Primo when making the request. Comments placed by patrons appear with the title in the space highlighted in this image:

4. With items in hand, under Fulfillment > Resource Requests > Scan in Items scan in the barcode. This action changes the item to be on the hold shelf and the patron will get a hold notification email letter 20 minutes after this step is completed. The print window opens with the Hold Shelf Request Slip Letter. Print this letter, put it in the book, put the book on the Hold shelf. 

5. When patron comes for the item (or when you are ready to deliver to curbside) check the item out to the patron: go to Fulfillment > Checkout/Checkin > Manage Patron Services and check the item out to the patron.

If the Item is Not on the Shelf

If an item from the Pick List is not found on the shelf it could be for several reasons. To see if an item is available for loan or not:

1. Go to Fulfillment menu > Resource Requests > Pick From Shelf

2. Click on the row actions list to the right of the item that you did not find on the shelf and select "View Title in Search"

3. The title will display with additional information. Click on the "Physical" inventory link at the bottom and the item's availability will display:

Circulation staff should alert a librarian about any requests that are labeled as "not available" and/or not found on the shelf so they can do a thorough search and notify the patron of their options for obtaining the item(s).

If You Have Searched for the Item and Determined that it is Missing

A. If the item in the pick list is for a patron hold request, then toggle the missing status on the item. The patron will then get a notification email telling them the hold request was cancelled and encouraging them to contact a librarian or obtain a copy via I-Share. 

B. If the item in the pick list is for a a reserve (move to temporary location), then print out the pick slip and mark on it that item is not found. Put the pick slip in the appropriate librarian's mailbox or otherwise notify the appropriate librarian.
