Alma Fulfillment

Policies and procedures for using Alma for Fulfillment activities.

If the Barcode is Missing, Illegible or Not Found when Charging an Item to Patron

There may be times when you cannot charge an item to a patron because:

  • the barcode is marred or illegible
  • there is no barcode
  • the barcode is not found in Alma after you scan it

If you are certain that the item is an item from one of the library's circulating collections and the patron is allowed to check the item out, then you will need to create a temporary record for the item in order to properly check it out. 

To create a temporary record:

1. From the Patron Services page, click on Create Item:

 

2. Choose the Holding Type = New and Citation Type = Book:

 

3. The Quick Cataloging page appears. Fill in the form with the required information:

Placement of new record = Institution

Title 

Author

Barcode 

Call number (if the spine label is missing look for the call number on the title page)

Suppress from Discovery box should be checked

 

4. In the Item information section:

Choose the location the item came from -- look at the spine label:

  • If there is no location above the call number then it will be from HSL Main Stacks
  • Books with a 14 day loan sticker on the spine and no call number come from the Current Interest location
  • Determine other locations from the spine label, and if you don't know, ask your supervisor or a librarian

Scan in the barcode

Choose the correct Item Policy (most of the time this will be "Book-regular loan")

 

5. Click SAVE when done.

The item is now checked out to the patron and a work order has been created to route the item to cataloging upon its return.
