Alma Fulfillment

Policies and procedures for using Alma for Fulfillment activities.

Adding a Proxy User

You can define one user to be a proxy user for another. A proxy user can loan and return items on behalf of another user. For example, if a faculty member has a student researcher who will visit the library and check out items for that faculty the student would be a proxy borrower for that faculty.

Before you can check items out to a proxy borrower you must first define a borrower as a proxy in Alma. To define a proxy borrower:

1. Search Alma for the patron who will be the proxy using the "Users" search in the persistent search bar:

2. Click on the username or select Edit from the row actions list for the correct user.

3. Open the Proxy For tab of the User Details page. Select Add Proxy For.

4. In the Proxy for field, find the patron for whom you want the current user to be a proxy.

5. Select Add User. The patron is added; the user is now a proxy for this patron.

To remove the patron as a proxy, select Delete in the row actions list and then click the SAVE button.

Checking Out Items to a Proxy Borrower

1. Under the Fulfillment menu, select Manage Patron Services.

2. Before entering a patron, check the box to Use Proxy.

2. Enter the barcode or select a patron name for the proxy patron.

Before selecting the magnifying glass in the search box, a drop-down list appears. The first ten matching items are retrieved for the list. They are not necessarily the same as the first ten items on the complete patron list. For a full search, use the magnifying glass.

3. Click the GO button. The Proxy For field appears. Select the patron for whom this user is acting as a proxy.

4. Click GO again and continue to the Loans page to check out items.

NOTE: The patron receives email notifications regarding actions taken on his/her behalf.
