Policies and procedures for using Alma for Fulfillment activities.

Find Item in Physical Item Search

Do a Physical Items > Barcode search for the item.

A. Open the menu to the right of the item (three dots) and select "Toggle Missing Status." 

B. If you choose to edit the item, click the "Save and toggle missing" button at the top of the Physical Item Editor screen:

Search for Item by Title

1. Search for the item by title with All Titles > Title search:

2. Find the record in the list. Click on the blue "Physical: link to display the location and call number. Verify that the location and call number matches the missing item. Then click on the blue "Items" link.

3. A list of items appears. In many cases there will be only one item listed. If multiple items are listed, find the correct missing item by matching the call number and volume number or by matching the barcode if you know the barcode of the missing item. Click the row actions button (3 ellipses) to the right of the item and select "Toggle Missing Status." 

Missing Items Report

To run a report listing items with a "missing" status:

1. Use the search function, first selecting "Physical Items" from the persistent search bar, then adding "Physical Item: Process type" as a search option with "Missing" as the search criteria: 

2. Click SEARCH. A list appears. Export the list by clicking on the Export icon in the top-left:

3. Select the export option "Excel (current view)". Open the Excel file and arrange the data in a way that makes sense for doing searches in the library for the physical items.
