Policies and procedures for using Alma for Fulfillment activities.

Hold Shelf Maintenance

The Hold shelf period is 14 days; this period does not include days when the library is closed. Once a patron becomes notified that an item is on hold for them, they have 14 days to pick up the item before the hold expires.

Library staff can review the materials that are On Hold for pick-up in Alma. The hold shelf list includes both local and I-Share material on hold at the circulation desk for patrons. View everything on Hold by displaying the Active Hold Shelf list:

1. Log into Alma at the Seymour Library location.

2. Under Fulfillment> Resource Requests> click on Active Hold Shelf 
Note: The "Active Hold Shelf" is a bit of a misnomer; it should be called the "Entire Hold Shelf". The Active Hold Shelf includes material with a hold expiration date in the future, as well as material with a hold expiration date in the past.

 

When viewing the Active Hold Shelf list, there is an easy way to distinguish I-Share items on hold from items from our collections.

I-Share items on hold have two options: Update Expiry and View Audit Trail:

Updating the Hold Expiry Date

Update the expiration date of items on the Hold shelf:

1. Login into Alma at the Seymour Library location.

2. Go to Fulfillment > Resource Requests > Active Hold Shelf. Note: You can also update the Hold expiration date from Fulfillment > Resource Requests > Expired Hold Shelf.

3. Find the item for which you want to change the Hold Shelf expiration date. Click the Update Expiry button and apply a new date. 

Working with Expired Holds

To view the Expired Hold Shelf list:

1. Log into Alma and select the appropriate library circulation desk for where materials are on hold, either Seymour Library or the Amott Science Commons.

2. Under Fulfillment> Resource Requests> click on Expired Hold Shelf.

The "Expired Hold Shelf" list is subdivided into tabs based on the next action for staff to take with the item. Not all tabs will contain items to work with each day. The tab name is followed by a number to denote if items are listed on the tab.

 

Reshelve Expired Holds (materials belonging to the Knox libraries)

1. View the Expired Hold Shelf list. Open the Reshelve tab if it isn't already open.

2. Gather the items from the hold shelf that need to be reshelved. 

3. In the Expired Hold Shelf Items Reshelve list, locate the items that need to be reshelved and either:

a. Click the RESHELVE button next to the item; or

b. Check the check box for each item you are reshelving, and then use the Reshelve button at the top of the list of items

4. Place the items on the reshelving cart.

 

Expired I-Share Holds

All I-Share expired holds are managed by the Readers' Services department. Circulation staff should not work with these expired holds.

Working with Active Holds

To view the Active Hold Shelf list:

1. Log into Alma and select the appropriate library circulation desk for where materials are on hold, either Seymour Library or the Amott Science Commons.

2. Under Fulfillment> Resource Requests> click on Active Hold Shelf

How to Return an I-Share Item that the Patron No Longer Wants if the Hold is Not Expired

1. Go to Fulfillment> Active Hold Shelf

2. Find the item the patron did not want in the list, and click on the Update Expiry button.

3. Change the expiration date to be today's date.

4. The next day, the item will be on the Fulfillment> Expired Hold Shelf list> "Send to Institution" tab. Finish process this as an "Expired I-Share Hold" as above.

 

Activate the Hold for the Next Person

1. Go to Fulfillment> Active Hold Shelf

2. Find the item the first patron did not want in the list, and click on the Activate Next button. This action activates the next request in the queue, which cancels the first request and makes the item available to the next requester.
